Administrative Assistant, Information Systems

NCARB is a nonprofit organization and global leader in architectural regulation. Located in Washington, D.C., our mission is to protect the public health, safety, and welfare by leading the regulation of the practice of architecture through the development and application of standards for licensure and credentialing of architects.

Our members are the architectural licensing boards of the 50 states, the District of Columbia, Guam, the Northern Mariana Islands, Puerto Rico, and the U.S. Virgin Islands. While each jurisdiction is responsible for regulating the practice of architecture within its borders, NCARB develops and administers national programs for licensure candidates and architects.

The Information Systems department is a full-service team of talented technology professionals who work together to advance NCARB through the implementation of technology and an innovation framework.  They have been building enterprise software for over 10 years, effectively positioning the Council as a leader in technology implementation and innovation in the non-profit sector. With its core processes properly supported, NCARB is now able to innovate and improve in how the Council manages information, and creates new opportunities for new services and products, even with commercial viabilities.

This position reports to the Chief Innovation and Information Officer (CIIO) and provides additional support to the Vice President, Information Systems. It is a highly collaborative role working with a wide range of professionals on a variety of tasks and projects to help implement the goals and objectives of the CIIO and the Information Systems team. Duties will include:

  • Confidential administrative assistance and project management support.
  • Organization as you develop and maintain calendars and schedules, plan travel, assist with monitoring priorities and deadlines, maintain contact lists and recordkeeping.
  • Collaboration as you partner with colleagues to develop communications and supporting materials, and share information and updates on team projects, goals and objectives.
  • Relationship building as you develop congenial and long-lasting relationships with our internal and external partners.
  • Helping new customers through onboarding and implementation of our commercial software tools.
  • Providing continued customer support for our software tools and helping with navigation through any issues and problem resolution.
  • Continual learning as you develop and maintain an understanding of NCARB’s programs, services, and operations.

 

At a minimum, you have:

  • An open, positive attitude that enjoys working as part of a team.
  • Bachelor’s degree; or, combination of substantial related experience, training, and education may substitute.
  • Two or more years of related experience with emphasis on providing administrative and project support, interpersonal skills, excellent writing and editorial skills, a customer-centric mindset, attention to detail, organization, and accuracy.
  • Ability to prioritize and manage multiple projects.
  • Demonstrated proficiency using technology and a wide variety of software applications to include Microsoft Office Suite (Word, Outlook, Excel, PowerPoint).
  • Some minimal travel including weekends may occasionally be required.

 

Ideally you have:

  • Experience in supporting and coordinating complex projects and organizing a diverse workload.
  • Experience planning and organizing meetings and events.
  • Pride in the accuracy of your work.

 

It would be awesome if you also have:

  • Passion for technology.
  • Interest in architecture, professional licensure, or higher education.
  • Experience working with teams in an Agile project management environment.
  • Foreign language skills.
